The Issue
Our paperwork was taking far too long. We didn’t have many automated processes in place and relied on someone in the office to manually overwrite and resave documents – usually in Word – such as employment and customer contracts. Not only was this time-consuming, but it also led to issues with documents not being saved properly, stored in the wrong location, or not being sent at all. Overall, it was a lengthy and disorganised process.
We knew we needed a system that would streamline staff and customer onboarding, save time, and ensure everything was stored in the correct place. No more hunting for documents or discovering something hadn’t been sent.
The Search
A friend mentioned that she was using a system called DocFlite, so I decided to reach out and book a call to see how it could help. The team was very knowledgeable and, after listening to the struggles I was facing, explained how DocFlite could make a difference. It didn’t feel like a sales call at all – they walked me through the system via a video call.
I was particularly impressed with the process of sending commercial quotes, which looked far more professional than what we were using. I also really liked the feature that allows customers to accept or reject a quote, along with automated reminders sent by the system.
The Upshot
DocFlite has saved our admin staff a significant amount of time and greatly improved our organisation. Everything is now stored in one place, making it easy to find.
We’ve introduced automated processes for onboarding staff and new customers, as well as for sending quotes. DocFlite also chases up documents for us, which has been a huge help.
Additionally, we’ve started using DocFlite to record and track HR matters- such as sickness, holidays – and plan to use it as part of our disciplinary process. Using consistent templates for all our documentation has helped us appear much more professional as a company.
Support
The support from the team is second to none. They’re incredibly responsive and always just an email or phone call away. They made it so easy to get started right away. It can feel daunting to change or introduce a new system, but I can honestly say that using DocFlite has been the easiest system we’ve ever implemented – and probably the most beneficial in terms of improving our processes and increasing efficiency. It’s excellent value for money.
